Inventory/Catalog/Insure?? Last viewed: 6 hours ago

I recently read the article in DRUM magazine by Don Bennet about Elvin Jones kit and how he acquired Elvin's entire collection from his widow and this got me thinking.

Also my former drum teacher, an awesome big band player from the 50s, recently hired a student/intern from the school where he teaches to inventory/catalog his collection - it took the kid 3 months to go through all his gear. He found out he had things that he didn't even know he had and it was all worth more than he thought. He said he should have done that years ago. He also said he was surprised at how much it was all worth - and decided to sell some things. (I picked up a few nice pieces)

As a result I have been inspired to do the same thing. I can't afford an intern and can only commit a little time to it, but one thing I think about is a topic we've discussed on here before, namely; what happens to your stuff after you're gone. I hope this will make it easier on my wife should I go to the big drum room in the sky earlier than expected.

Anyone else keep an inventory? Anyone have any tips on valuing your stuff? Anyone have insurance on your gear?

I insure my collection.

Once a year I make a list with model names and values, then take a photo of the entire collection.

I used to insure with a company that specialized in musical instrument insurance, but got a 20% better deal with the company that does my house and property.

I pay 8/10ths of one percent of the value of the collection, yearly.

All my gear is inventoried in a data base that allows input of information about the make, model, serial number, date of purchase, notes about the item, notes regarding maintenance, etc. and a photo. Insurance is a rider on my commercial liability policy.

Got a downloadable template? That would be very cool.

I do keep a pictorial inventory of everything. And my wife knows where to go for liquidation if I was to suddenly vanish.

Mine is a custom template I created in FileMaker Pro which, unless you already have the application, would be cost prohibitive for this purpose. I think I would go with a standard spread sheet. You can generally upload images into a cell which will then let you do everything you need. If you keep each item on a single row you can then sort by any category. Sort by manufacturer, cymbals, snare drums, etc.

I have an Excel spreadsheet categorized by type (kits, snares, hardware, cases, etc.) that lists every piece of gear, date purchased, current retail price (or estimated market price if no longer made), price paid, serial #

I am trying to do that now, it's a real pain. I am listing the model/make, list price, market value, and purchase price - so if I sell something I know if I made money on it or at least didn't lose my shirt.

The hard part is not the kits, it's all the little pieces of hardware, rack clamps, percussion, etc, etc. And sometimes finding list or replacement value is tough.

I'd also include any distinguishing characteristics in case the serial no. gets removed. I just inventoried my drums last week. If anyone would like my excel template, PM your email address and I'll send it to you.

Thanks

For insurance purposes I would not sweat the small stuff. It would be good to have an inventory of clamps, L arms, brackets, etc. but I would stick a generic price on that stuff and call it good. At the end of the day the drums and cymbals are the important bits.

This is exactly what I have as well...I have it sorted alphabetically by brand to make it easier to find the info I`m looking for...
